AFSS Administrative Assistant

Position Type 20 hours per week                                             Salary: $20.00hr starting

The Alberta Federation of Shooting Sports (AFSS) is the Provincial Sport Organization governing body for all of the shooting sports in the province of Alberta. We represent the following Associations;

Alberta Black Powder Association

Alberta Frontier Shootists Association

Alberta Handgun Association

Alberta International Skeet Association

Alberta International Style Trap Association

Alberta Metallic Silhouette Association

Alberta Provincial Rifle Association

Alberta Skeet Shooting Association

Alberta Sporting Clays Association

Alberta Small Bore Rifle Association

International Practical Shooting Confederation - Alberta

The AFSS is looking for an enthusiastic, mature and hard-working person to co-ordinate office activities as well as provide support to several projects.

Office Administration – 20 hours per week

  • Maintains systematic communication with member associations to help meet their needs
  • Organize and maintain the Federation files (administrative/membership)
  • Organize and maintain accounts receivable and payable
  • Coordinates correspondence, reports and memos
  • Ensure that office supplies are adequately stocked and order as necessary
  • Completes other administrative tasks as assigned time to time by the executive committee.
  • Coordinate and contact volunteers for Casino
  • Maintains Range Safety Officer Database and sends out monthly renewals as well as scheduling Range Safety officer Programs throughout the province.
  • Assist with planning and      preparation of Federation and all member association grant submissions as      requested/submitted
  • Whenever necessary, serve as      recording secretary for Executive and Board Committees and Annual General      Meetings.
  • Replies to, or appropriately      direct enquiries for, all incoming general inquiries on the telephone, email      or regular mail.

Project Coordination – THE POSITION MAY EXPAND INTO THIS AREA IN THE FUTURE

Provide management/administrative support to AFSS programs

  1. Coordinate NCCP
  2. Leadership Development program

Essential Qualities

-          Proven communication & organizational skills;

-          Proficient computer skills, good knowledge of Microsoft Office, Excel, Access, and Quickbooks

-          Basic accounting / banking skills an asset

-          Good knowledge of office administration procedures;

Ability to adjust work schedules to meet needs of the Federation

Other Requirements:

  • Able to      communicate effectively in English.
  • Proven      administrative experience and skills, preferably in a not-for-profit or      sports environment as a small association, we expect a team player who      will assist wherever necessary and one who works well under pressure. We also expect an individual who holds a      positive attitude towards the shooting sports.
